Privacy Policy

This Privacy Policy explains how UmpCrew ("we," "us," "our") collects, uses, and protects personal information through the UmpCrew website (umpcrew.com), the UmpCrew web app (app.umpcrew.com), the UmpCrew mobile applications, and related services (collectively, the "Service").
1. Information we collect
Account information. When you sign up, we collect your email address and (if you create one) a password. If you sign in with Apple or Google, we receive a verified email and a unique identifier from the provider.
League data. Information you add to the Service: league name, season dates, schedule (date, time, field, teams), umpire roster (name, email, phone), park addresses, and notes.
Umpire profile data. If you are added to a league as an umpire, the commissioner provides your name, email, and phone number. You may add or update additional information (blackout dates, push notification preferences) by signing in.
Usage data. Standard server logs (IP address, browser type, request timestamps) generated automatically when you use the Service.
Payment data. Billing details (card last-four, billing address) are handled directly by our payment processor (Stripe). We do not store full card numbers.
2. How we use information
- To operate the Service: assign games, send notifications, render the calendar.
- To send SMS and push notifications you or your league commissioner have opted into.
- To process payments and manage subscriptions.
- To provide customer support when you contact us.
- To improve the Service (aggregate usage analysis; never sold).
- To comply with legal obligations.
3. SMS messaging & consent
UmpCrew sends transactional SMS messages to umpires for game assignments, schedule changes, and reminders. The following terms govern SMS use:
- Opt-in. Your phone number is added to UmpCrew by your league commissioner when they add you to the roster. By providing your phone number to your commissioner — or entering it yourself in the mobile app — you consent to receive transactional SMS messages from UmpCrew about your umpire assignments.
- Message types. Assignment confirmations, unassignment notifications, schedule changes, and game reminders (typically 24 hours before a game).
- Message frequency. Varies by league activity. A typical umpire receives 2–10 messages per week during active season.
- Opt-out. Reply STOP, UNSUBSCRIBE, CANCEL, END, or QUIT to any message to immediately stop further SMS. Reply START to resume. These keywords are honored by our SMS provider automatically.
- Help. Reply HELP to any message for contact information.
- Rates. Standard message and data rates from your mobile carrier may apply. UmpCrew does not charge umpires for SMS.
- No marketing. We do not send marketing or promotional SMS, ever. All UmpCrew text messages are transactional and tied to your participation in a specific league.
- No third-party sharing. Phone numbers collected for SMS are not shared with third parties for their marketing purposes. They are shared only with our SMS provider (Twilio) as needed to deliver the messages you have consented to receive.
4. How information is shared
We share personal information only as necessary to operate the Service:
- Within your league. League admins can see all roster and schedule data for that league. Umpires see only their own assignments and game details for games they are assigned to.
- Service providers. Google Cloud / Firebase (hosting, database, authentication, push notifications), Twilio (SMS delivery), Stripe (payments), Vercel (website hosting). These providers process data only on our behalf.
- Legal compliance. When required by law, subpoena, or to protect our rights, users, or the public.
- Business transfers. If UmpCrew is acquired or merged, your information may transfer to the new owner under the same privacy commitments.
We do not sell personal information. We do not share personal information with advertisers or data brokers.
5. Data retention
We retain account and league data while your subscription is active and for a reasonable period after cancellation in case you reactivate. League admins can delete a league at any time, which permanently removes its data. Notification logs are retained for at least 90 days for support and audit purposes.
6. Security
Data is encrypted in transit (TLS) and at rest. Access to production systems is limited and audited. We follow industry best practices but cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by law.
7. Your rights
You may:
- Access and update your account information from your profile.
- Request a copy of your personal data by emailing hello@umpcrew.com.
- Request deletion of your account and personal data.
- Opt out of SMS messages at any time using the STOP keyword.
- If you are a California, Colorado, Virginia, Connecticut, Utah, or other state resident with applicable privacy rights, contact us to exercise those rights.
8. Children
UmpCrew is not directed to children under 13. We do not knowingly collect personal information from anyone under 13. League admins must not add umpires under 13 to a roster. If you believe we have collected information from a child under 13, contact us and we will delete it.
9. International users
UmpCrew is operated from the United States and our infrastructure is in US data centers. By using the Service from outside the US, you consent to your information being processed in the US.
10. Cookies & analytics
The marketing site (umpcrew.com) does not use third-party advertising or tracking cookies. The web app (app.umpcrew.com) uses cookies and local storage strictly for authentication and session management. We may use privacy-respecting analytics to understand aggregate site usage; analytics data is not linked to individual users.
11. Changes to this Policy
We may update this Policy from time to time. Material changes will be announced by email or in-product notice. The "Last updated" date at the top of this page reflects the most recent revision.
